White Label Loyalty runs enterprise loyalty programmes for global brands. Behind the product sits the machinery every B2B SaaS company needs: invoicing, renewals, usage billing, contract review, e-signature, HR onboarding, investor reporting.
Having worked closely with WLL for years, I knew the business intimately — so I didn't need a long discovery phase. The picture was one every scaling B2B company would recognise: a business that had grown faster than the tooling behind it, a patchwork of off-the-shelf apps, automations and spreadsheets holding the gaps together, and too much operational know-how tied up in tools that only almost fit rather than systems built for how WLL actually works.
The opportunity was just as clear: bespoke internal software, built around exactly how the business works rather than the compromises of off-the-shelf SaaS. Done right, it would mean sales raising their own invoices, colleagues running their own contract reviews, leadership pulling their own reports — all self-serve, on software owned by the business rather than scattered across personal tools and subscriptions.
The solution had two layers. What to build: a suite of seven bespoke applications — one per operational domain — replacing the patchwork with software the team could operate themselves. How to deliver it: a fixed-remit contract engagement — an eight-week build across seven codebases.
What WLL bought wasn't just software — it was what the software changed: a team that runs its own operations, and a stack of SaaS subscriptions that no longer earn their licence fees. By the end of the engagement, the benefits were visible in how the company operates day to day.
Sales and account managers raise, allocate and send their own invoices, pause services and process terminations — with readiness gates catching errors before they reach a client.
Usage overages are detected automatically and invoiced in one click, and every client approaching or past their contracted term is flagged daily — so renewals and consumption billing are captured as a matter of course.
Colleagues run their own redline rounds with AI-drafted responses, and signature packs go out through WLL's own e-signature platform with no per-seat fees.
Investor reporting — ARR bridge, forecasts, covenants — lives on a production dashboard, with every figure verified byte-exact against the system it replaced and XLSX infopacks exportable on demand.
